Privacy Policy

This Policy applies to everyone who interacts with the Service, including:

• Subscribers — schools, parishes, dioceses, and other organizations that purchase the Service for their community;
• Account Holders — individuals who register an account, such as coordinators, staff, and volunteers; and
• End Users — parents, guardians, volunteers, and others who use the Service in connection with a Subscriber’s community, including, where a Subscriber enables it, students.

Capitalized terms have the meanings given in our Terms of Service.

Much of the personal information in the Service is provided or generated by a Subscriber and its community. For that information, the Subscriber decides what to collect and why, and we process it on the Subscriber’s behalf as its service provider — only to provide, secure, maintain, and improve the Service, and as instructed through the Service’s features and our agreement with the Subscriber.

If you are an Account Holder or End User and have questions about how your school or organization uses your information, please contact that organization directly. This Policy describes our own practices.

We collect the following categories of information:

We collect this information directly from you, from the Subscriber whose community you participate in, and automatically through your use of the Service.

We use information to:

• provide, operate, and maintain the Service;
• create and manage accounts and authenticate users;
• enable sign-ups, scheduling, and communications within a Subscriber’s community;
• send transactional and service-related messages (such as confirmations and reminders);
• process subscription payments and manage billing;
• provide customer support and respond to inquiries;
• monitor, secure, troubleshoot, and improve the Service;
• create de-identified or aggregated data that does not identify any individual; and
• comply with legal obligations and enforce our Terms.

We do not sell personal information, and we do not use personal information in a Subscriber’s community for our own advertising.

We share information only as described here:

• Within a Subscriber’s community. Information is shared with the relevant Subscriber and its authorized Account Holders as needed to operate the community (for example, a coordinator can see who signed up for a shift).
• Service providers (subprocessors). We use trusted vendors to help operate the Service — for example, hosting, email delivery, analytics, and payment processing. They may access information only to perform services for us and are bound by confidentiality and data-protection obligations. A current list of our subprocessors is available to Subscribers on request.
• Legal & safety. We may disclose information if required by law or to protect the rights, safety, and security of users, the public, or MySchoolSignup.
• Business transfers. If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

MySchoolSignup is designed for use by adults. Account registration is limited to adults, and we do not knowingly collect personal information directly from children under 13 without appropriate authorization.

Where a Subscriber chooses to use the Service in a way that involves information about students or other minors, the Subscriber directs that collection and use. As between the parties, the Subscriber is responsible for providing required notices and obtaining required consents under applicable law, which may include the Family Educational Rights and Privacy Act (FERPA), the Children’s Online Privacy Protection Act (COPPA), and applicable state student-privacy laws. Where COPPA applies, a school may provide consent on behalf of parents for the collection of students’ personal information used solely for the educational or community purpose for which it is collected.

We use student and minor information only to provide the Service to the Subscriber and as permitted by law, and we do not use it to build profiles for non-educational purposes or for advertising. If you believe we have collected information from a child without appropriate authorization, contact us at hello@myschoolsignup.com and we will take reasonable steps to delete it.

We use cookies and similar technologies to keep you signed in, remember your preferences, and secure the Service. We also use analytics to understand how the Service is used so we can ensure it is working properly and improve it. We use this analytics information for our own product and performance purposes, not to track you across other websites or for advertising.

Some cookies are necessary for the Service to function; others support analytics and performance. You can control cookies through your browser settings, though disabling some may affect how the Service works.

We retain personal information for as long as needed to provide the Service and for legitimate business or legal purposes. For a Subscriber’s Customer Content, we generally retain it for the duration of the subscription and, after termination, make it available for export for sixty (60) days before deletion in the ordinary course, consistent with our Terms of Service.

We may retain de-identified or aggregated data, and limited records required for legal, accounting, or security purposes, for longer.

We maintain commercially reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, or disclosure. These include measures such as encryption in transit, access controls, and hosting with reputable providers. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

Account information. Account Holders can review and update their account information within the Service or by contacting us.

Communications. You can opt out of non-essential emails using the unsubscribe link or your notification settings. We may still send transactional or service messages necessary to operate the Service.

Community data. If your information was provided through a Subscriber’s community (for example, by your school), requests to access, correct, or delete that information should generally be directed to the Subscriber, which controls that data. We will assist Subscribers in responding to such requests.

Other requests. To make a privacy request about information we hold as a business, contact us at hello@myschoolsignup.com. We will verify and respond consistent with applicable law.

Depending on where you live, you may have rights under state privacy laws (such as those in California, Virginia, and other states) to access, correct, or delete personal information, to obtain a copy of it, and to opt out of certain processing. We do not sell personal information or share it for cross-context behavioral advertising.

Where we process personal information on a Subscriber’s behalf, we act as a service provider/processor and will direct applicable requests to the relevant Subscriber. To exercise rights regarding information we control, contact us at hello@myschoolsignup.com. We will not discriminate against you for exercising your rights.

We are based in the United States and process information in the United States. If you access the Service from outside the United States, you understand that your information will be processed in the United States, where privacy laws may differ from those in your location.

We may update this Policy from time to time. If we make material changes, we will provide reasonable notice (for example, by posting the updated Policy with a new “Last updated” date or by notifying Subscribers). Your continued use of the Service after the changes take effect constitutes acceptance of the updated Policy.
